Executive Assistant / Future Chief of Staff

“Runs the room before the room realizes it’s being run.”

We are seeking a highly organized, emotionally intelligent, impossibly resourceful Executive Assistant to support a fast-moving entrepreneur, public-facing business owner, community leader, and creative visionary.
This is not a “calendar and coffee” assistant role.
This is a keep-the-train-moving-at-120mph-without-spilling-the-champagne role.
You should apply if:
  • You secretly love being the most competent person in the room.
  • You get a dopamine hit from color-coded systems, perfectly timed logistics, and solving problems before anyone else sees them coming.
  • You understand that “Can you help with one quick thing?” is rarely one quick thing.
  • You appreciate the energy of:
    • Donna from Suits
    • Emily Charlton from The Devil Wears Prada
    • Ava navigating Deborah in Hacks
    • Olivia Pope-level anticipation without the federal crimes
This role requires someone who can operate with warmth, discretion, speed, humor, and an elite level of follow-through.

What You’ll Actually Do

  • Manage a constantly evolving calendar, travel schedule, and meeting flow
  • Anticipate needs before they’re spoken aloud
  • Coordinate events, speaking engagements, travel, dinners, and community appearances
  • Keep projects moving across business, personal brand, and creative ventures
  • Handle inbox management and communication prioritization
  • Help manage social media logistics, uploads, scheduling, and coordination with creatives/vendors
  • Be able to pivot from:
    • a high-level business conversation
    • to solving a wardrobe emergency
    • to booking a last-minute flight
    • to reminding someone they forgot to send the thing they absolutely promised they sent
  • Create systems where chaos currently lives
  • Protect time, energy, priorities, and momentum

You Might Be Perfect If…

  • Your love language is spreadsheets and impeccably labeled Notes app folders
  • You are deeply organized without being rigid
  • You can handle strong personalities without getting flustered
  • You know how to read a room
  • You’re comfortable with both professionalism and personality
  • You can maintain confidentiality
  • You are proactive instead of reactive
  • You’re emotionally intelligent enough to know when someone needs solutions vs support
  • You can gently but firmly hold people accountable
  • You enjoy being around ambitious women, LGBTQ+ community spaces, entrepreneurs, creatives, and big energy environments

Bonus Points

  • Experience supporting executives, founders, creators, speakers, or public-facing professionals
  • Event coordination experience
  • Strong writing and communication skills
  • Social media coordination experience
  • Comfortable traveling occasionally
  • Miami familiarity is a plus
  • Ability to say: “Already handled.”

What This Is Not

This is not a passive assistant role.
This is not a clock-in/clock-out environment.
This is not ideal for someone who needs constant direction.

What This Could Become

For the right person, this role has significant growth potential into operations leadership, brand management, community/event leadership, or Chief of Staff-style responsibilities.
If your natural state is:
“I noticed three problems, solved two, and built a system so the third never happens again…”
…we should probably talk.
